About the Role
As the Executive Assistant to the Managing Partner, you will be the operational backbone of the executive office. Your work will directly influence efficiency and productivity, enabling strategic leadership by expertly managing complex logistics, communications, and administration. You will be integral to a high-performing team within a firm known for its growth and ambition.
Your Key Responsibilities
You will be entrusted with managing the critical flow of information and commitments for senior leadership.
- Provide full-spectrum executive support, including complex calendar management, meeting scheduling, and prioritisation of appointments across global time zones.
- Coordinate detailed international and regional travel arrangements, including flights, visas, accommodation, and itineraries.
- Prepare, proofread, and format correspondence, presentations, reports, and other documents with a high degree of accuracy.
- Act as the primary point of contact, screening calls and managing communications with internal and external stakeholders with professionalism and discretion.
- Facilitate smooth meeting execution, including agenda preparation, room booking, and minute-taking when required.
- Handle expense reporting and other administrative tasks with efficiency.
- Anticipate needs and proactively manage tasks to ensure the Managing Partner’s day operates seamlessly.
Qualifications for Success
This role requires a seasoned professional with a proven track record in a demanding corporate setting.
- Minimum of 5 years of secretarial or executive assistant experience, preferably within financial services, asset management, or a related professional services firm.
- Expert proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook).
- Trilingual fluency is essential: Exceptional written and spoken English, Cantonese, and Mandarin.
- Outstanding organisational skills and meticulous attention to detail.
- Superior communication and interpersonal abilities, with the poise to interact confidently with senior executives and clients.
